Overview

Most Holy Trinity Church is seeking a full-time receptionist position responsible for providing a full range of receptionist and administrative services for a large parish organization. Bi-lingual in Spanish is required. Ensures that all phone calls and office visits are handled efficiently, professionally, and with the desire to minister to all. Will oversee the timely opening and closing of the parish office. The Receptionist position will report directly to the Office Manager and assist the Manager in the orderly operations of the parish office.

AREAS OF FOCUS

  • Provide hospitality, collaboration, and communication in serving our parishioners as the first impression of our parish by ensuring phone calls and office visits are handled efficiently, professionally, and with the desire to minister to all.
  • Operating telephone system, taking/transferring calls and disseminating messages to concerned staff.
  • Enter new parishioners’ information into Parish Data System (PDS) and maintain an updated parish database for all the changes such as address, move-out, etc.
  • Maintains parish offering envelope system, records parishioner donations in PDS and takes charge of the mailing of yearly contributions statements.
  • Responsible for the management and scheduling of baptisms, weddings quincenearas and funerals and coordination with the concerned parties/individuals.
  • Maintain sacramental information on database and in record books.
  • Handles scheduling of mass intentions and recording in Mass Intercessions Book.
  • Oversees the inventory of office and liturgical supplies and orders for purchase when needed.
  • Distributes mails and other related materials.
  • Collects fees, receives payments and donations in accordance with cash handling guidelines.
  • Provide administrative support to the Pastor and priests as needed.
  • Participates in Pastoral Staff Meetings and Retreats. Attend parish functions when possible.
  • Ensures compliance and implementation of policies put in place by the Diocese of San Jose and parish leadership.

QUALIFICATIONS

  • Minimum 5 years experience in related position
  • High School graduate, college graduate preferred
  • Good communication skills both oral and written
  • Bi-lingual in English and Spanish is required
  • Excellent organizational and interpersonal skills; Efficient with computer and programs such as Microsoft Word, PowerPoint, Excel, Publisher and ParishSoft
  • Detail-oriented, ability to meet deadlines, persistent, helpful, team player, and personable
  • Great customer service knowledge and skills
  • Ability to maintain confidentiality

This is a full time (32 hours), non-exempt position. Salary is based on the Diocesan Scale and depends on qualifications and experience.
