Chancery

 

The Project Manager (PM) is responsible for providing day to day support for pastoral planning and implementation projects creating a project plan that outlines goals, objectives tasks, timelines and resources needed to ensure implementation is successful.   The individual will identify schedules, project scopes, budget estimations, and implementation plans, including problem solving issues that arise. The PM will coordinate internal and external resources to ensure that projects adhere to scope, schedule, and budget.  Additionally, the PM will analyze project status and, when necessary, revise the scope, schedule, or budget to ensure that project requirements can be met by working closely with the COO and Pastoral Planning & Implementation Director.  The PM will establish and maintain relationships with relevant key stakeholders, providing day-to-day contact, track and monitor deliverables. The incumbent reports to the Pastoral Strategic Planning Director and COO.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING (and other duties as assigned):

Vision, Strategy and Leadership

  • Conducts best practice research from other arch/dioceses in the focus areas outlined in the DSJ Pastoral Plan.
  • Provides inputs in the design and implementation of the DSJ Pastoral Plan.
  • Supports the Pastoral Planning & Implementation:
    • Providing general consultation (coaching) to pastors, administrators, pastoral coordinators, and other diocesan leaders in planning and implementing Ecclesial Integration processes that effectively execute strategy, and helping teams manage change.
    • Providing planning resources and collaborates with other Diocesan offices in the Ministry Integration process; acts as a resource for parishes and other entities to provide team building, ministry consulting, workshops, organizational goals, strategy, and related protocols when they impact the parish pastoral plan.
    • Exercising analytic skills directed at “the why” as well as “the what.”  Works with Chancery Directors on statistical data-gathering and analysis.
    • Helps design, develop and implement the operational guide for groups, associations, and parish ministries that ensures alignment to Diocesan Vision and Parish Mission.
    • Helping coordinate logistics of all aspects of the planning process, including consultations, events, and meetings.
    • Establishing and maintaining processes for managing scope during the project lifecycle, tracking and monitoring progress of plan
    • Providing support in developing PowerPoint presentations, editing and setup.
    • Monitoring the budget, resources and ensuring project efficiency and maximizing deliverables
    • Reporting project outcomes and/or risks to the COO and escalating issues, as necessary, according to project work plan
  • Provides operational and logistics support to the Pastoral Planning & Implementation Director and the COO to ensure effective planning and implementation of all the Diocesan pastoral plan goals and initiatives across the Chancery and Diocese.
  • Be the primary liaison and support to the Pastoral Planning Committee for scheduling meetings, planning agendas, providing training, communicating updates and reporting regularly to key leadership, stakeholders and groups.
  • Leads change management processes and promotes best practices in project management, dealing with conflict and addressing any barriers or resistance to change effectively and using a team approach, in consultation with Pastoral Strategic Planning Director and the DSJ COO.
  • Understands general Diocesan Policies related to all Diocesan entities and able to recognize the long-term implications and how various organizational components interact.

Finances and Operations:

  • Provides logistical planning implementation including all activities, outputs, and outcomes related to project management and administration, including reporting, budget development and monitoring, logistics, execution of project plans, and project performance.
  • Communicates with the Pastoral Strategic Planning Director and the DSJ COO on all critical operational matters and provides weekly updates.
  • Schedules regular reporting to the Bishop, Cabinet, Priest Council and Finance Council as requested.
  • Gathers data and compiles reports, fiscal and general, which are requested and required by the Diocese.
  • Manages daily program operations, develops program procedures, conducts program assessments and evaluations, manages office administration, and participates in strategic planning.

Collaboration and Communication:

  • Effectively communicates with Pastors, Principals, Chancery and other constituents so that priorities, activities and logistics are clearly articulated at all levels of the Diocese.
  • Responsible for overall communication of the Strategic Pastoral Plan in strong collaboration with the Pastoral Strategic Planning Director, the DSJ COO, and the Communications Team.
  • Works closely with the Pastoral Strategic Planning Director and the DSJ COO to ensure compliance with programmatic targets and deliverables.
  • Promotes the project through presentations, and participation in meetings, councils and leadership.

 Education and/or Experience:       

  • Bachelor’s degree in a relevant field from an accredited university with at least 5 years of experience in project management.
  • Certification in project management (PMP) is preferred.
  • Proven track record in leading strategic planning and execution in a large and complex organization.
  • Demonstrated work planning and project management experience
  • Experience of enabling organizational change through project management and embedding these changes firmly in an organization

Salary Range: $75,000 – 88,000 per year based on education and experience.
