St. Lucy Parish
The Administrative Assistant is responsible for providing administrative support for the daily operations of the parish. Tasks include greeting and working with the public, handling money, maintaining written and database records and scheduling events. This person is the first point of contact for the parish and must have a pleasing personality and enjoy working directly with people. Fluency in speaking, reading and writing Spanish and English required.
Duties and Responsibilities
1) Greets members of the community who call, email or come to the parish office, determines their needs and directs them to the proper person if they are not able to help them directly. Typical tasks include:
- Booking Mass Intentions
- Receiving Payments and Donations
- Making funeral arrangements
- Assist parishioners with information and paperwork for all parish programs and events
- Update parish website
- Manages parish Facilities Calendar
2) Manages the process related to sacramental preparation, including but not limited to Baptisms, Weddings, First Communion and Confirmation and Quinceaneras
- Handles all correspondence between ministers, families and individuals
- Monitors and tracks schedule of activities associated with each sacrament (booking education classes, presiders, church and other rooms or activities as needed for each sacrament)
- Insures all documentation is accurate and maintained in a timely manner
- Enters sacramental information into parish registers.
3) Enters and maintains parish records regarding sacraments in Parish registries and parish databases (ParishSOFT, ParishPay, PayBee, Church Bulletin).
- Enter the weekly offerings in to the ParishSOFT database
- Prepare a list of records for the quality checker
- Maintain accuracy of Parish constituency list
- Run ParishSOFT reports as needed
- May be called upon to work additional hours after Christmas and Easter and other special collections
- May be called upon to enter other types of data (sacramental and parish schedule)
4) Enters and maintains parish records regarding sacraments in Parish registries.
5) Coordinates annual mailing of tax statements
6) Translate English documents into Spanish and vice versa
7) May be called upon occasionally to work extended hours.
Salary Range: $18.16 to $30.00 per hour based on education and experience. Compensation for the role will depend on the number of factors, including the candidate’s qualifications, skills, competency, and experience.
