Saint Simon Parish

Position Summary:

This position provides specialized assistance to support the various departments of the parish office.  This position helps to support the smooth operation of the different pastoral departments of the parish, and will interface and take assignments as needed from pastoral staff leaders needing assistance.  This position reports to the Office Manager who will coordinate day to day activities.  This position serves on the pastoral staff of the parish and will attend regular staff meetings.

Duties and Requirements:  (ie. education, good communication skills, evening/weekend hours, ability to lift 50 lbs.)

Qualifications:

  • Must be proficient in Microsoft Office and Google applications, and able to access and utilize various online database systems.  Experience required using Canva or similar graphic arts marketing tools, MailChimp or other email marketing tools.  WordPress and experience in performing website updates and maintenance a plus.
  • Must have good communication skills including written skills and the ability to translate events and activities into one-page fliers and slides.
  • Must be friendly and able to interface positively when dealing with staff members, parishioners, and volunteers.  Must be committed working within a team environment and a welcoming environment that supports the mission of the parish.
  • Must be organized and be able to work in a sometimes-hectic environment where schedules and deadlines are critical.

Responsibilities:

Faith Formation and Spirituality Activities   Estimated 12 hours per week.

Program Support Specialist will work to support the Pastoral Associate for Faith and Spiritual Formation in a wide variety of activities.  We encourage volunteer support in these areas so position will work in conjunction with them to assure the following tasks are successfully completed.

  • Ensures accurate registration utilizing ParishSOFT Religious Education module for Catechesis of the Good Shepard (CGS), Children’s Faith Formation (CFF), Middle and High School Youth Ministry (MSYM, HSYM), and the Right of Christian Initiation (RCIC) for children.Assures accuracy of data and classroom assignments. Assures sacramental records are current and accurate within the database.  Coordinates information about Sacraments performed to the Office Manager for upkeep of parish registries.  Manages registration and sacramental forms received.
  • Helps to assure Baptism, First Reconciliation, First Communion, Confirmation, and Marriage sacramental preparation certificates are generated prior to the Mass where the Sacrament are performed. This allows handing out certificates at the time of the Sacrament.
  • Assists in preparing materials and set up for Baptisms, Children’s Faith Formation and Adult Spirituality programs, including parent meetings and special events.
  • Works with the PA to assure that all volunteers working in the program, especially Catechists, are Safe Environment compliant.
  • Supports communication needs within the department. Provides other clerical and office duties as requested to support the Faith Formation and Spirituality office.

Communications Department Activities    Estimated 5 hours per week

Will interface with Communications Coordinator as needed to support clear and timely communications with the Community concerning parish activities and events.  May include the following activities:

  • Prepare a draft of the weekly ebulletin using Mailchimp. Assist in maintaining and updating MailChimp email lists, as well as other email lists used by the Communications department.
  • Utilize Canva to prepare fliers and other graphic arts as needed
  • Update calendars that feed the parish website Master Calendar
  • Assist with keeping bulleting boards and information areas updated as needed

Office Operations    Estimated 3 hours per week

Will interface with the Office Manager for other duties as needed to support the pastor, parish priests and office operations as needed.

FlexibilityMust be flexible in how the weekly hours will be allocated based on need.   

Language Skills: Strong verbal and written communication skills; proficiency in composing reports, correspondence, and letters and in publishing newsletters and flyers in English; ability to develop and facilitate workshops, training, and presentations; ability to read and understand Church documents, guidelines and professional journals; ability to understand and explain policies and answer questions.

Computational Skills: Ability to calculate needs based on CFF and Spirituality program attendance.

Reasoning Ability: Ability to solve practical problems and respond to a variety of situations related to position.  Ability to understand and apply guidelines and organizational ability required.

Physical Demands: While performing duties of this job, the employee must be able to transport materials and equipment (up to 30 pounds) to and from various locations. The employee is regularly required to sit for extended periods of time, use hands in repetitive motion tasks, handle objects, talk and hear. Specific vision abilities required include close vision, depth perception and ability to adjust focus.

Working Conditions: The employee is expected to work a 20-hour workweek. The 20 hours will be on a flexible schedule as work demands including some weekend and evening hours.

Other Requirements: The employee must demonstrate a history of effective leadership, good judgment, initiative, confidentiality and discretion. Practicing the Roman Catholic fait a plus.

Salary Range: $25.00 per – $27.00 per hour, based on education and experience.
