Diocesan Synod Young Adult Assembly

We are listening.

Young Adults are invited to openly engage with the Catholic Church and have an important voice in the direction of our diocese.

During our diocesan synod general assembly and pastoral planning process, we heard a strong desire to better include and support young adults in parish life. Recent studies have shown a steady decline in young adult participation in church activities, with six out of ten teens involved in church activities in high school not continuing to actively practice their faith into early adulthood.

We want to understand this shift by listening to young adults directly. The body of Christ needs the energy, creativity, and talents that Young Adults bring. Already, you are seen as leaders in business, innovation, sports, entertainment, and culture.  We want to encourage you to dream also of leading the Church into a bright future.

When and Who

On Saturday, September 21, 2024, over 350 delegates from our parishes, schools, Catholic movements, and organizations will gather to represent the diversity of young adult (18-35) experiences in the Diocese of San José.

They will share their perspectives and experiences with the Catholic Church and provide feedback and direction for the Bishop and the pastoral plan implementation team to consider as the diocese develops a young adult ministerial plan as part of a pastoral plan for the spiritual renewal of our diocese.

Receptionist/Administrative Assistant, Saint Francis of Assisi Parish

Successful candidates will have the ability to work collaboratively and cross-functionally with other departments within a team environment with staff, church officials, and volunteers, with the ultimate goal of providing excellent friendly service to all visitors, guests, and parishioners of St. Francis of Assisi.

General Front Desk Reception Tasks

  • Personally answer all incoming phone calls
  • Greet visitors and vendors and walk them through the check-in process
  • Respond to general inquiries via email and telephone promptly
  • Check the general voicemail messages and make sure they get to the appropriate staff person
  • Manage requests for Mass Intentions, including recording and processing Mass intention donations
  • Be knowledgeable of current church services, programs, activities, and outreach opportunities and communicate offerings to all making inquiries
  • Sign for deliveries, sort and distribute mail and deliveries to the appropriate staff person
  • Capable of speaking to persons in financial need and providing accurate information on assistance that may be available from the parish
  • Ability to limit and defer solicitors
  • Oversees the timely opening and closing of the office each day
  • Maintain a tidy reception area and church office

General Administrative Tasks

  • Coordinates information for baptisms, funerals, and weddings and works closely with clergy for each request
  • In collaboration with clergy, oversees and records all sacramental entries to the parish records and prepares certificates. Preparing Baptismal and Marriage Certificates
  • Ability to operate office equipment
  • Be willing to support the overall needs of the staff team as required by the Pastor and Business Manager
  • Keep staff informed of all hospitalizations, and deaths, of active volunteers/parishioners
  • Prepare deposits for money collected at the reception desk and record all payments and deposits in the appropriate categories
  • Prepare income/expense sheets for special parish-sponsored events
  • Provide administrative support to other staff members as needed
  • Works closely with the calendar/facilities administrator for the parish facilities requests and coordinates the use of keys as needed
  • Maintain filing systems both hard and electronic copies for the Pastoral team
  • Attend staff meetings/gatherings and any other events as required for Staff
  • Additional tasks as assigned
  • Maintain and order office supplies as needed

Minimum Professional Qualifications

  • Familiar and respectful of Catholic teachings and practices, including knowledge of sacraments, liturgical seasons
  • Bilingual – English/Spanish is preferred
  • Understanding of staff and church leadership structure
  • Friendly with excellent people skills
  • Ability to communicate effectively in oral and written form
  • Must have effective telephone techniques
  • Professional temperament and appearance
  • Must be able to maintain strict confidentiality at all times
  • Ability to work and relate to a variety of personalities and cultures with diplomacy, friendliness, and poise
  • Able to prioritize and handle multiple tasks
  • Committed to the mission and values of St. Francis of Assisi and the Catholic Church
  • Proficiency in MS Office (MS Publisher, MS Word, MS Excel, MS Outlook, and MS PowerPoint) Experience using database software. ParishSoft experience is a plus
  • Strong organizational skills with the ability to multi‐task and prioritize work
  • Previous experience in equal or similar position

 

Pay Range: $21-$25.50 per hour based on experience and education.
