Human Resources Manager, Chancery Office

The Human Resources manager will work very closely with the HR Director in providing HR services to over 2,000 employees of the Diocese of San Jose chancery, parishes, schools, and affiliated organizations.  The incumbent manages specific human resources functions as may be assigned such as Employee Relations (investigations and employee discipline), Compensation, Benefits, Payroll Audits, Performance Management, HR compliance-related functions (Workers’ Compensation, EDD, Unemployment Insurance, mandatory training, et al.) and other functions and tasks as may be assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING (and other duties as assigned):

Vision, Strategy and Leadership:  The HR Manager will partner with the HR Director in the development and management of policies, programs, guidelines, and procedures for the following functions:

Employee Relations:

  • Investigate employee issues and conflicts and bring them to resolution in accordance with policy and California labor laws and regulations.
  • Provide guidance and support to the location heads in addressing employee issues.
  • Partner with the location heads in developing HR policy guidelines and procedures to address employee performance and behavioral issues.
  • Coordinate legal compliance and employee termination issues with the HR Director and the DSJ Legal Counsel.
  • When requested, assist in conducting exit interviews or arrangements for separation agreements with terminated employees.

Compensation:

  • Provide guidance to hiring managers in establishing the pay range for job vacancies in accordance with DSJ compensation structures and guidelines.
  • Partner with hiring managers in the review job descriptions and ensure that they are compliant with all local, state and federal regulations, particularly the FLSA classifications.
  • Ensure compliance with the legal minimum wage across all locations.
  • Manage the planning and implementation of the annual cost of living allowance for the Chancery and the parishes.
  • Handle inquiries and requests for compensation review.
  • May be assigned to assist in diocesan-wide compensation restructuring projects.

Benefits:

  • Administer all benefit programs (health plans, insurance plans, retirement plans, FSA, HSA, etc.) for eligible employees at all parishes, schools, and as requested, other agencies of the Diocese.
  • Work with the HR Director and Benefits Analyst and the DSJ Benefits Committee in the review of current benefit programs, and recommend changes as appropriate.
  • Conduct research on benefit trends and benefit-related California labor laws and regulations and recommend changes as may be required.
  • Negotiate and collaborate with brokers, administrators, and vendors, and may write plan documents and/or summary plan descriptions.
  • Plan and facilitate the annual open enrollment by ensuring the development and dissemination of communication materials to all concerned location heads and employees.
  • Handle benefit-related inquiries and concerns from new employees, current employees, and terminating employees.
  • Assist employees and clergy in the filing of health claims and obtaining Medicare when age appropriate.
  • Work with Payroll Administrator in reviewing and ensuring the accuracy of benefits-related payroll deductions.

Performance Management:

  • Assist the HR Director in ensuring that annual performance evaluations are conducted across all DSJ locations (the chancery, parishes, schools, and other companies).
  • Put in place a mechanism to track compliance.
  • Conduct training on performance discussions and evaluations as may be required.

HR operations and compliance-related functions:  Incumbent may be asked to handle any/some/or all of the following functions:

  • Workers’ Compensation
  • EDD and Unemployment Insurance,
  • Audit of workday data and reports

Perform other duties as may be assigned by the HR Director.

Finances and Operations:

  • Provide inputs in the development of the annual HR Budget.
  • Partner with the CFO in managing inquiries and the coordination of back-end operations related to the retirement plans for lay, religious and clergy.

Technology Ministry Coordinator, Saint Simon Parish

The Technology Ministry Coordinator oversees the use of the technology required to support Liturgies and other special events for the parish and the school.  The Technology Ministry Coordinator assures live streaming of the daily, Sunday and special Masses and celebrations. The Coordinator also sees that the Technology Ministry supports the Music Ministry by setting up and taking down the equipment used by musicians, singers and choirs, and by mixing the resulting audio for sound reinforcement and broadcast. Responsibility also includes inventory control, maintenance, repair, and requesting replacement of equipment.

General Responsibilities:

Work hours for this position include working evenings and weekends.  All ministry in and by the Church is substantially different from secular involvement. Church ministers must conduct themselves in a manner which is consistent with and supportive of the mission and purpose of the church. Ministers should carry out all duties and responsibilities in a manner that meet the needs of the Parish Community and is within policies and guidelines of the Roman Catholic Church. Coordination of Technology During Liturgies and Services

  • Ensure that the guidelines as outlined in the Diocesan Media in Worship Policy are followed for the use of technology during Masses.
  • Ensure that all liturgies use the available technology to project lyrics, prayers, presentations and videos as approved by the pastor for use in Sunday Masses.
  • Ensure live-streamed Masses and events use the available technology to broadcast those Masses and events to YouTube and Facebook.
  • Develop and maintain operator documentation.
  • Work with the technology scheduler to ensure adequate A/V support as required.
  • Oversee licensing requirements required for live-streamed broadcasts.
  • Provide support for requests for the post-processing of live-streamed broadcasts, such as extracting audio recordings from selected parts of the broadcast.

 

Technology Ministry

  • Coordinate the activities of the Technology Ministry, including new minister training.
  • Collaborate with existing leadership in the Technology Ministry.
  • Ensure that there are enough active volunteers in the ministry to serve the community.
  • Ensure that there are members of the Technology Ministry who can assist with other parish needs such as school assemblies, special liturgies, and parish meetings.
  • Coordinate the training of ministers and staff members to be proficient in using the church and parish center building technology.

 

Equipment Management and Maintenance

  • Troubleshoot problem areas in a timely and accurate fashion.  Interface with parish IT Coordinator concerning IT and network issues.
  • Ensure an accurate inventory of all Church A/V technology equipment is available.
  • Maintain equipment manuals and maintenance logs.  Ensure needed maintenance is performed on schedule.
  • Oversee the maintenance, repair and replacement of equipment.

 

Education and Experience

Basic working knowledge of projectors, microphones, mixers, speakers, audio systems, LCD/plasma displays, digital cameras.

Familiarity with computer software for video and audio production and software interfacing.

Familiarity with computer network configuration and debugging desirable.

Familiarity with live-streaming to Facebook and YouTube desirable.

Familiarity with digital cameras, including configuration, calibration and video production desirable.

High school diploma, progress on associate degree and experience in the field

The Director of Adult Spirituality and Family Life facilitates Diocesan community life by serving and accompanying clergy and parish leaders ministering to families living as the domestic church and overseeing spirituality and formation ministries that serve young adults, adults, couples, and families. The Director assists parish and school leaders in promoting the connection between family life and full participation in the life of the church, including evangelization and Christian service.

Faith Formation Associate Director – Chancery, San Jose CA

POSITION SUMMARY: The Faith Formation Associate Director provides leadership, services, and resources to assist pastors and parish catechetical leaders in carrying out the catechetical mission of the Church. This position supports parishes to create a faith forming culture based on family catechesis. The Associate Director gives direction and vision for catechesis in the Diocese, engaging parents as the primary educators of their children and developing policies and guidelines in all aspects of faith formation, including sacramental preparation. This position collaborates with the Catholic Schools Superintendent and reports to the Senior Director for Evangelization.

o Promote the vision and implementation of family faith formation throughout the Diocese, partnering with Youth Ministry to focus on families with children up to 12th grade.

Preschool Teacher – St. Victor School, 2023-24 School Year

POSITION SUMMARY: Under the direct supervision of the Preschool Director, the Preschool Teacher maintains,
operates, and manages the preschool class. The Preschool Teacher organizes, leads, and monitors activities of the
students enrolled in the program and provides other assistance in the total implementation of the program. Essential
knowledge of child development and age appropriate curriculum is required.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING (and other duties as assigned):

  • Plan, supervise, and implement daily activities under the guidance of the Preschool Director in accordance
    with the policies and philosophy of the program.
  • Ensure a safe and healthy environment based on the safety and behavioral standards of the school.
  • Plan and implement engaging, developmentally appropriate educational enrichment curriculum that expands
    and supports student learning experiences .
  • Communicate effectively with students, parents, and other professionals.
  • Monitor and assist individual students in groups to support program activities.
  • Comply with security procedures, including attendance, pick-up, and emergency procedures to ensure the
    children’s safety.
  • Communicate effectively (positive feedback and concerns) with the parents and families on a consistent and
    ongoing basis.
  • Participate in training programs, conferences, courses, and other aspects of professional growth as
    recommended by the Director and principal.
  • Know and comprehend the rules set forth from the Licensing Agency and maintain the classroom
    environment to these guidelines.
  • Exhibit warmth and care in working with children in stressful situations.
  • Support Director and staff in maintaining all state licensing requirements.
  • Assist and support Director in continuing education of parents in early education information

  • Adhere to all policies and procedures as outlined in the parent/student handbook and employee
    handbook.
  • Work as part of a team.
  • Attend faculty, administrative, and all other meetings as needed.

QUALIFICATIONS TO PERFORM THE JOB SUCCESSFULLY:

Education and/or Experience:

  • Minimum of 12 ECE units in core classes, Child Development, Child Family and Community, and
    curriculum areas. Associate Degree in Early Childhood Development, preferred.
  • At least two years’ experience teaching Preschool.
  • Sufficient training to perform tasks assigned by the Principal and/or Preschool Director.

Language Skills:

  • Excellent written and oral communication skills with an ability to effectively communicate with all
    stakeholders of the school.
  • English, required.
  • Bilingual (English/Spanish or English/Vietnamese) preferred.

Technical Skills:

  • Infant First Aid and CPR certified.
  • Proficient at word processing, presentation, and electronic mail applications.
  • Experience with school information systems (SIS).
  • Working knowledge of Workday, or willingness to learn.
  • Proficient with Word, Excel, PowerPoint, and Google applications.

Physical Demands:

  • Sitting, standing, walking, reaching, lifting, repetitive motion, bending, stooping, crouching, climbing,
    stretching, twisting.
  • Can lift 25 lbs. in compliance with safety standards.
  • Must be able to stand for long periods of time.
  • Handles exposure to climate change and temperature.
  • Can operate standard office equipment such as copiers, fax machines, personal computer, telephone, and
    alarm system.
  • Level of vision, hearing, speaking required.

  • Able to work evenings and weekends if required.

Salary Range: $26.59 – $30.77 based on education and experience.
