Facility/Maintenance Manager, St. Frances Cabrini, San Jose

Facility/Maintenance Manager is responsible for the effective, efficient, and safe maintenance, renovation and upkeep of parish buildings and grounds. Main duties include supervising the preventative, routine and emergency maintenance and upkeep of the buildings and property for the church. Primary systems include HVAC, plumbing, electrical, security, fire safety, energy management, irrigation, and grounds.

 ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:

  • Assist the pastor in the implementation of the parish maintenance and facilities, security, safety, cleanliness policies, systems, and procedures.
  • Collaborates with the pastor in developing a comprehensive plan to address the operational and maintenance needs of the parish buildings and grounds.
  • Serves as a resource to the staff regarding building operations and maintenance.
  • Monitor repair service calls, including oversight of the work done by outside service providers.
  • Oversee the scheduling of regular preventative maintenance of all mechanical equipment.
  • Respond to maintenance requests from staff.
  • Work with the school facility manager, parish, and school custodians and/or maintenance vendors to help facilitate or complete facility repairs.
  • Assist in readying the facility for special events.
  • Provide setup and cleaning services for evening or weekend activities, as required.
  • Oversee the Parish’s campus trash, recycling, and composting responsibilities.
  • Assist with Emergency Operations plans and execution.
  • Regularly inspect all work areas to ensure that no safety hazards exist.
  • Develops and implements procedures to address problems that arise within the facilities, consistent with parish and Diocese guidelines.
  • Maintains adequate inventory of custodial, maintenance and operational supplies.
  • Respond to facility alarms, alerts, system failures, and Oversees parking program. Ensure compliance with health and safety standards and industry codes.
  • Coordinate annual inspection of facilities with Diocese Risk Management.

Coordinator of Catechetical Ministry – Part Time, Saint Justin Parish

St. Justin is seeking a qualified person to be responsible for developing and supporting engaging catechetical programs.  The coordinator works collaboratively with staff, catechetical personnel, volunteers to develop, strengthen, and promote effective faith formation.  Specifically, the Coordinator provides leadership, support, consultation and resources to those engaged in: Ongoing Faith Formation, Sacramental Preparation and Rites of Christian Initiation.

Director of Liturgy and Music, Holy Spirit Parish

The Director of Liturgy and Music at Holy Spirit Parish requires a creative, hard-working, innovative, solutions-oriented, and passionate individual. The Director of Liturgy and Worship’s main objective is to ensure a superb caliber of liturgy is experienced by all. The ideal Director is self-motivated, innovative, and able to perform key tasks independently in a timely manner. The Director of Liturgy and Worship will collaborate very closely with the Pastor to ensure his vision of liturgy for the entire parish is fulfilled. In addition, the Director of Liturgy and Worship will work closely with the volunteer liturgical ministry leaders to ensure each liturgical ministry (Lectors, Extraordinary Ministers of Holy Communion, Altar Servers, Mass coordinators, Ushers, Greeters, Cantors, and Musicians) meet the worship needs of the parish.

In addition, the Director will provide effective planning, coordination, and execution of music for all parish liturgies, wedding masses or liturgies of the Word and Masses of Christian Burial.  The main goal of the music director is to prepare music that will lead the parishioners of Holy Spirit and provide a deeper relationship with God and with one another.This individual must be a self-starter who enjoys working in a team environment and is excited to be part a strong Catholic community with a diverse culture. This role will require a firm understanding of our church’s vision and values. The Director of Liturgy and Worship will require a flexible work schedule which will include weekends and evenings.

Essential Duties and Responsibilities of the Position

Mass/Liturgy Specific Duties and Responsibilities:

  •  Responsible for ensuring the best liturgical and spiritual experience possible for Mass attendees for both Sunday (including Saturday vigil) and daily (Monday – Saturday) Masses.
  • Ensures that the schedules of Lectors, Extraordinary Ministers of Holy Communion, Altar Servers, Sacristan Assistants, Ushers, Greeters, Cantors, and Musicians are completed and communicated to all volunteers in a timely fashion. Oversees liturgy volunteers to ensure parish scheduling is accurate and up to date.
  •  Oversees, in conjunction with the pastor, the environment and decoration of worship area including Sanctuary.
    Responsible for developing weekly Ministry notes for Sunday (including Saturday vigil) Masses which includes prayers of the faithful, coordinating all announcements, Mass intentions, etc.
  • Collaborates with members of Holy Spirit School on worship and liturgy programs, including but not limited to, school masses and worship events/activities.
  • Potential Future Responsibility: Responsible for leading the coordination of Children’s, Youth and Young Adult Liturgies. Collaborate with necessary staff such as Youth and Young Adult Director and team.
  • Responsible for leading monthly Liturgy Team meeting consisting of Pastor, Parochial Vicar, liturgy committee, and others as needed. Responsible for developing and leading the agenda, including gathering any feedback from other staff, parishioners, volunteers as necessary for consideration by the Liturgy Team. Responsible for ordering hosts, wine, candles, and liturgical materials, as needed.Specific duties include:
  • Provide for music and musicians for all Sunday liturgies and other major celebrations.
  • Build repertoire and select liturgically appropriate music for all liturgies with a goal of engaging the congregation in worship.
  • Train, direct, supervise and expand choirs, ensembles, and volunteer cantors, etc.
  • Work to foster unity among all parish musicians and to create a spirit of harmony with the presider and liturgical ministers.
  • Keep abreast of developments in liturgical practice and music nationally as well as Diocesan policies and guidelines and update the parish on these matters.
  • Is open to ideas, concerns and suggestions that come from the Liturgy Committee concerning the execution of liturgies. Provides consultation in considering and responding to these inputs.
  • Acts on any feedback from the formal evaluation process of parish life that is relevant to the music for worship and liturgies.

The Receptionist is responsible for the Church front office, ensuring the parishioners, visitors and callers are attended to promptly, efficiently, professionally. Will oversee the timely opening and closing of the parish office. Payments and collections are handled in accordance with established guidelines. Provides administrative support to the pastor, other priests and pastoral staff. Confidentiality is a must.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:

· Ensures the timely opening and closing of the front office every day.

· Attends to all incoming calls, parishioners and visitors. Warmly greets persons with a friendly, courteous and helpful attitude, providing pertinent and appropriate information to callers and parishioners and/or visitors. Takes/transfers calls and disseminate messages to concerned staff.

· Collects fees, receives payments and donations, issues receipts, prepares Sales Report at the end of the day and drops the money collected into the safe.

· Prints and issues sacramental certificates requested by parishioners.

· Prepares pre-numbered tamper-proof bags for masses properly labeled per mass time and date and places in sacristy before the mass.

· Maintains log of collection bags issued and provides copy to money count team prior to Monday count for reconciliation purposes.

· Coordinates money count volunteers and accompanies a volunteer to deposit collections to the bank.

· Maintains Petty Cash Fund and disburses money in accordance with established guidelines.

· Maintains inventory of office supplies, prepares purchase orders as needed.

· Distributes incoming mails and other related materials received.

· Responsible for the management and scheduling of facility reservations, baptisms, weddings, Quinceañeras and funerals and coordinates with the concerned parties/persons.

· Records sacramental information in record books.

· Provides administrative support to the Pastor and other priests and pastoral staff.

· Participates in staff meetings, retreats. Attends parish functions when possible.

· Ensures compliance and implementation of policies put in place by the Diocese of San Jose and parish leadership.

· Performs all other functions and duties as required by immediate supervisor and the Pastor.
